Overview

HR management systems are crucial for organizations to manage their workforce and maintain smooth employee experiences. It helps to streamline various HR processes, such as hiring, onboarding, employee data management, performance reviews, and more. Therefore, it is essential to design an HR management system that can meet the needs of different stakeholders and provide a seamless user experience.

Problem Statement

Our client, a global organization with over 5000 employees, wanted to develop an HR management system that could replace their existing system, which was outdated and challenging to use. The organization's HR team faced several issues while managing employee data, performance reviews, and hiring processes.
The current system lacked an intuitive user interface, and employees found it challenging to navigate through the system. The system also had several manual processes that made it cumbersome and time-consuming for the HR team. Therefore, the client approached us to conduct user research and design a user-friendly HR management system that could meet the needs of employees and the HR team.

The Solution

The goal for many in 2021 is how to scale up their omnichannel strategy, unify their customer and product data, give priority to mobile shopping experiences, create responsive sites, integrate, and synchronize sales and supply data, and product information and inventory in other to take advantage of the opportunities presented by this eCommerce boom. But how can they do so?
This is where illo can help. illo makes it easy for businesses to take their sales online. The set up is completely on the web with no software to install or hosting to procure, and the interface is intuitive for even non-technical users. Business can be up and running in a matter of days, not months or even years. Other eCommerce Platforms like Magento require the help of external agencies to set up losing businesses valuable time and money.

Research Methodology

To design a user-friendly HR management system, we followed a user-centered design approach, where we conducted user research to understand the needs and pain points of different stakeholders. We used both qualitative and quantitative research methods to gather insights from employees and the HR team.

Qualitative Research

We conducted in-depth interviews with 15 employees from different departments and job roles to understand their experiences with the existing HR management system. The interviews helped us to identify their pain points, needs, and expectations from the new system.
We also conducted focus group sessions with the HR team to understand their workflows and identify areas that required automation. The sessions helped us to understand the manual processes involved in HR management and the challenges faced by the HR team.

Quantitative Research

We conducted an online survey to gather feedback from a broader employee population. The survey helped us to identify the most critical features required in the new HR management system and the pain points faced by employees.

Research Findings

The research findings helped us to identify the following key insights:
The existing HR management system was challenging to use, and employees found it cumbersome to navigate through the system.
Employees expected the new system to be more user-friendly, intuitive, and accessible from any device.
The HR team faced several manual processes that made it time-consuming and challenging to manage employee data, performance reviews, and hiring processes.
The HR team required an automated system that could streamline their workflows, reduce errors, and save time.
Employees wanted a system that could provide personalized experiences and help them to manage their data and performance reviews, track logged time.

Design Solution

Based on the research findings, we designed an HR management system that met the needs of employees and the HR team. The system's design focused on providing an intuitive user interface, automation of manual processes, and personalization of experiences.

Implementation

After the design was finalized, our team began implementing the ecommerce CMS. We used a combination of front-end and back-end technologies to create a seamless user experience.
We tested the CMS thoroughly to ensure that it was easy to use and all features were working properly. We also conducted user testing to get feedback and make improvements.

Key Features

User-friendly Interface: We designed an intuitive user interface that could be accessed from any device, making it easy for employees to navigate through the system.
Automation of Workflows: We automated several HR processes, such as onboarding, performance reviews, and employee data management, to reduce manual efforts and save time.
Personalization: We provided a personalized dashboard for employees to manage their data and performance reviews, making it easy for them to track their progress.
Analytics and Reporting: We provided HR managers with detailed analytics and reports on employee data, performance, and other critical metrics, making it easy for them to make data-driven decisions.

My Role

I joined Agromall in 2020, 1year after i moved to Lagos Nigeria, i joined alongside other Software Engineers and product managers, i was the only Designer on the team, so i was practically responsible for entire design process execution and implementation of several projects.
I was tasked with redesigning ClockiFi and the entire experience of the product as well as adding additional features, after conducting a Usability Audit of the previous build, i further conducted user interviews with my colleagues to gain insight of their experience using and interacting with the previous build, after which i also sent out questionaires to them as well.
