Why this matters

Speed to first reply decides who wins an event booking on Yelp, and the person who could reply was on site running events. Yelp also scores it in public: every business page carries a Response Quality rating and a Responsiveness line (average reply time and reply rate), and consumers compare vendors on those two numbers before they read a word. An AI responder only works for a local business if it can be interrupted: the owner has to be able to take over a thread at any moment without the bot talking over them. That takeover flag is the feature, and it is why the build is on Zapier with a CRM table rather than a black-box chatbot.

The problem

Three or four Yelp messages on a slow day, up to twenty on a busy one, each needing a reply within minutes or the enquiry goes to the next vendor. The owner was answering them between setups. Yelp's widget on the business page showed the cost: Response Quality "Room to improve" and an average response time of 2 hours.

What we built

Zapier captures each Yelp consumer message
Claude classifies it by event type and intent, then drafts a reply from a tone guide and an event-type playbook
Requests the business does not serve are declined politely or referred; missing details are asked for
Reply timing is a setting: inside 2 minutes by default, or a randomised delay inside a window the owner chooses (say 4 to 9 minutes) so replies read as a person at the desk, never as an instant bot
Every draft is checked against the playbook before it sends: the enquiry's own details echoed back, one question that moves the thread toward a quote, no price or date the playbook does not contain, which is what Yelp's Response Quality score rewards
Zapier Tables holds every conversation as the CRM record
A 12-hour delay step sends one follow-up if there is no reply
A manual takeover flag stops the agent on that thread only, so the owner can step in at any point

A Yelp message arrives and Zapier creates or updates the conversation record in Zapier Tables.
Claude classifies the message by event type and intent against the scope guide.
In scope: a reply is drafted from the tone guide and the event-type playbook, asking for any missing details. Out of scope: a polite decline or referral.
The draft is checked against the playbook, then held for the configured timing: under 2 minutes by default, or the owner's human-like window.
The reply goes back through Yelp.
