ARIA is an ambient therapy note assistant that helps outpatient clinicians finish their documentation before the session ends—HIPAA-compliant, automated, and invisible in-session.
Before ARIA, therapists spent hours after work manually writing SOAP/DAP notes, contributing to burnout, documentation errors, and workflow inefficiency. We redesigned the product around therapist behaviors—surfacing clarity, compliance confidence, and editing speed.

Context & Challenge

Clinical therapists were overwhelmed.
They spent evenings rewriting fragmented notes, uncertain whether tools like AI assistants would be secure, accurate, or even helpful.
Key challenges:
Dashboard tiles felt equally weighted—no visual prioritization
AI outputs lacked transparency (no uncertainty flags or edit trails)
HIPAA messaging buried in settings—leaving users unsure if ARIA could be trusted
Therapists didn’t need another note app. They needed clarity, confidence, and invisibility—something that worked with them, not against them.

Solution & Strategy

1. Redesigned Dashboard Hierarchy

We reorganized tiles to surface unfinished notes first—minimizing time-to-task and cognitive load on busy clinicians.

2. Built the Auto-Completed Note Screen

Therapists expected SOAP/DAP structure, draft mode, and AI uncertainty flags. We designed a review flow with:
AI-drafted highlights
Editable timestamps
Smart finalization checklist

3. Ambient Mode & Privacy Language

To reduce distraction and instill trust:
Built an “Ambient Mode” toggle to hide visual waveforms mid-session
Rewrote privacy copy to clearly state: “ARIA deletes all audio after note finalization. Nothing is stored. Notes are encrypted.”
Every detail removed friction, added clarity, and saved hours.
