AI Booking & Scheduling Assistant for Consultants The client needed a better way to manage appointment bookings, client onboarding, and calendar coordination without spending hours handling administrative tasks manually. Their scheduling process involved constant back-and-forth communication, missed bookings, and manual follow-ups, which slowed down operations and affected the client experience. To streamline the process, I developed an AI-powered booking and scheduling assistant that automated appointment management from start to finish. Using Calendly and Google Calendar, I created a seamless scheduling system that allowed clients to book available time slots automatically while keeping calendars synced in real time. I integrated OpenAI to generate intelligent responses, automate onboarding communication, and personalize confirmation and reminder messages. With Zapier, I connected the workflows across multiple platforms to automate appointment confirmations, reminder notifications, onboarding forms, and follow-up actions after meetings were completed. The automation helped the client: Eliminate manual scheduling tasks Reduce missed appointments and scheduling conflicts Automate reminders and onboarding communication Improve response times for new inquiries Keep calendars synchronized automatically Deliver a smoother booking experience for clients By implementing this system, the client was able to save time, improve operational efficiency, and focus more on consulting work instead of administrative coordination.

Their sales team spent hours writing emails, tracking replies, and managing follow-ups manually, leading to low response rates and missed opportunities. To solve this, I built a fully automated AI-powered email outreach system that streamlined the entire outbound process from lead sourcing to follow-up management. Using Apollo.io (http://Apollo.io), I automated lead sourcing and segmentation based on the client’s target audience. I then integrated OpenAI to generate personalized cold emails tailored to each prospect, helping the campaigns feel more human and relevant at scale. With Make.com (http://Make.com), I connected the entire workflow into one automated system that handled email sequencing, follow-up triggers, response tracking, and engagement monitoring. Instantly was used to manage campaign delivery and improve outreach performance. AI Internal Knowledge Base Assistant A growing company was facing challenges with internal knowledge management. Team members constantly struggled to find the latest SOPs, onboarding documents, operational guidelines, and company resources across multiple platforms. This led to repeated questions, wasted time, slower onboarding, and operational inefficiencies across departments. The client needed an AI-powered internal assistant that could centralize company knowledge and allow employees to instantly retrieve accurate information without manually searching through documents and folders. To solve this, we developed a custom AI internal knowledge base assistant using OpenAI, Notion, Slack, and Zapier automation workflows. The system was designed to connect the company’s operational documentation stored in Notion with an AI-powered conversational assistant accessible directly inside Slack. Employees could ask questions in natural language and instantly receive contextual answers, summaries, SOPs, and process guidance in real time. We automated the synchronization of internal documentation so the assistant could continuously reference updated company information without requiring manual maintenance. This helped ensure teams always had access to the latest operational knowledge and procedures. One of the biggest challenges was improving response relevance while keeping answers concise and easy for teams to understand. We addressed this by implementing structured AI prompting, intelligent workflow automation, and optimized knowledge retrieval processes to improve answer accuracy and consistency.
