Solika Arts: Multi-Portal SaaS Platform for an Art School

We designed and built the operating platform that runs Solika Arts, a thriving art studio in Nairobi with daily classes for children and adults. The whole school used to live in spreadsheets, paper registers, and petty-cash sheets. Growth had become the problem. We replaced all of it with a single platform that handles enrollment, bookings, payments, scheduling, attendance, family records, and communications, end to end.

The challenge An art school is not one user. It is four. Admin runs the business. Parents book classes for their children. Instructors run the room. Adult learners book for themselves. Each needed its own home, its own logic, and its own view of the same shared data. We built four connected portals on one platform, color-coded by role, so any user always knew where they were.

A role-based front door. The first decision is who you are. Learner or instructor, the platform shapes itself from the first screen.

An admin dashboard built around one question: how the business is doing right now. Revenue, enrollment, active classes, and occupancy, live. A class-by-class breakdown of what is filling and what is not.

A flexible class builder. Basics, schedule, pricing, preview. A curriculum library sorting Adults, Children, and instructor training. A term system that prices any shape of enrollment, from a single class to a full term.

A parent booking flow that feels like shopping. Browse the catalog, filter by camp or weekend, see live spots left, add to cart, and you're in.

A complete parents CRM with family records, registered children, ages, medical notes, contact details, and lifetime value. Every child profile includes a photo-consent switch, built so the studio's no-faces promise is honoured by the system, not just by memory.

A live attendance system. Instructors mark from the class roster, present or absent, saved in a tap. Admin sees every record, exportable with a click.

The instructor notes that follow the child. Pinned, tagged, and kept across classes. The quiet record of a child growing.

Email and coupons are built into the dashboard, so families and marketing run from the same place as the operations.

The result The studio stopped running on spreadsheets. Enrollment that used to take a phone call now takes a tap. Attendance that lived on paper is exportable in a click. The founder's whole business is visible in real time, on one screen.

Why it worked We treated this as an operating system, not a website. Art schools are dense operations. Many classes, many families, recurring schedules, payments, and a thousand small judgments per week. The platform needed to absorb that complexity quietly, give each role only what it needs, and respect the studio's real rules (like the no-faces promise) at the data layer. Light, warm visual language throughout, mirroring the product itself.
