Automating Brightree Workflows for Healthcare Clients (HIPAA-Compliant Automation)
While working with Docflow Labs, I designed and implemented automation systems that streamlined patient intake and order management workflows for healthcare clients using Brightree.
The goal was to eliminate time-consuming manual data entry from faxed referrals and spreadsheets while ensuring all processes remained fully HIPAA-compliant.

The Challenge
One of Docflow Labs’ healthcare clients handled patient admissions and order creation entirely by hand.
Referral packets would arrive as scanned faxes, which staff had to manually read and process.
Their workflow looked like this:
Receive referral fax
Manually read patient demographics and insurance details
Log into Brightree
Create or update patient records
Enter order information
Track progress in Excel
The same information often existed in multiple disconnected places:
fax documents
Excel trackers
email threads
This created several major problems:
3–4 hours of manual work each morning for admin staff
frequent transcription mistakes
no single source of truth for patient data
potential HIPAA compliance risks if data was mishandled
The client needed a way to automate intake without disrupting their existing Brightree workflow.
My Approach
After mapping the workflow end-to-end, I designed an automation system that could reliably process referral data from multiple sources and interact directly with Brightree.
The system was built in three major layers.
1. Data Ingestion
Incoming data was collected from several sources:
Excel referral trackers
email attachments
scanned fax documents
OCR pipelines extracted structured data from scanned documents so it could be used programmatically.
Because document formats varied across clients, the system was designed to tolerate inconsistent layouts and incomplete fields.
2. Brightree Automation
Brightree does not always provide APIs for the workflows required, so I implemented browser-based automation to interact directly with the Brightree interface.
These automations handled tasks such as:
creating patient records
updating demographics
entering insurance information
generating sales orders
linking documentation to patient files
The system replicated the exact steps a human operator would perform — but consistently and without errors.
3. Output, Logging & Error Handling
To maintain reliability and compliance, every action taken by the automation was logged.
The system also:
wrote results back to Excel trackers
flagged incomplete referrals
captured screenshots and logs for auditing
handled exceptions so failed entries could be reviewed manually
This ensured full transparency and traceability, which is important for healthcare environments.
Results
The automation significantly improved the client's intake process.
Operational impact:
5–10+ hours saved per week for admin and billing teams
major reduction in manual data entry errors
referral packets processed automatically from scanned documents
smoother data flow between Brightree and existing Excel-based processes
Most importantly, the automation allowed staff to focus on patient care and coordination instead of repetitive administrative work.
