Digital transformation of dental clinics

Challenge When Meta Smile came to us, the European market already had powerful medical management systems — but none tailored to the unique needs of Portuguese dentistry or designed for effortless global scale.

The ambition was bold: create a cloud-based platform from scratch to centralize every clinic workflow, from exams to invoicing, while offering advanced dental tools like odontograms and periodontograms. And it had to be multi-tenant, scalable, and ready to serve 1.2 million users across Europe, South America, and North America.

What We Did We started with deep Product Research, interviewing dentists, clinic managers, and patients to capture workflows, cultural nuances, and legal constraints across target markets. These insights shaped a robust roadmap: appointment scheduling, clinical records, health insurance management, personalized budgets, ERP, CRM, invoicing, and a fully integrated payment gateway.

In Portugal, we went further—integrating the national ID card (Cartão de Cidadão) to streamline patient onboarding and eliminate manual steps.

On the tech side, we built an elastic cloud infrastructure with region-based data sharding, multilingual support, and compliance with diverse fiscal regulations. The multi-tenant architecture allows each clinic to customize its experience while sharing the same codebase, enabling seamless updates with zero downtime.

With this foundation in place, we crafted an intuitive user experience that balances power with simplicity. Dentists can view a patient’s history at a glance, open interactive odontograms and periodontograms with a single click, and navigate clinical and financial workflows without friction.
