Operations & Content System for a Solo Coach Business The problem As the business grew, everything depended on one person. Coaching sessions, content ideas, podcast production, guest coordination, publishing — all competing for attention. Nothing was “broken,” but everything was fragile. If focus slipped, things stalled. Ideas stayed half-finished, releases became inconsistent, and mental load piled up. My intervention I stepped in as a stabilizing layer — handling the operational and creative coordination so the coach could stay focused on coaching and thought leadership, not logistics. My role was to quietly absorb complexity and turn it into a system that ran in the background without constant supervision. The system I built a simple but reliable operating flow across admin, podcast, and content: Managed day-to-day operations: scheduling, coordination, and admin so nothing slipped through the cracks Ran the podcast end-to-end: episode planning, recording schedules, editing, and release coordination Tracked all production inside a project management system to keep momentum predictable Coordinated with collaborators to keep output consistent and low-stress Turned ideas into publishable content: designed and scheduled Instagram posts aligned with the coach’s voice Managed podcast guest outreach — both inviting guests onto the show and booking the coach as a guest on other podcasts to expand reach Everything was designed to work even on busy weeks, not just “ideal” ones. The outcome Content and podcast production became steady instead of reactive.
