Case 003: Creative Production Fix – Turning "Founder Vibes" into a Repeatable Ad Engine

The Problem: "The Founder Bottleneck" A €6-figure/month wellness brand was growing fast, but the creative strategy was entirely "Founder-Dependent." Every ad idea and testing decision had to go through the owners. If the founders weren't in the room, the creative team stopped moving. They were reinventing the wheel every week because there was no way to track what actually worked.
The Mechanic’s Inspection: I looked under the hood of their marketing ops and found Data Fragmentation. The insights (how the ads were performing) were totally disconnected from the production (how the ads were being made). The team was "flying blind" while the founders were exhausted from constant oversight.
The Fix (What I actually did): I built a "Creative Ops" layer using their existing tools (Monday.com and Notion) to turn a chaotic process into a predictable engine:
The Testing Hub: Built a Notion database to track every ad test: Concept → Result → Iterate. No more guessing which hook worked.
Unified Pipeline: Standardized the boards so every ad had a specific naming convention. This linked their Slack chats directly to their Ad Accounts.
The Performance Log: Created a simple dashboard that shows Concept vs. Spend vs. Result. Now, the team can see patterns instantly without needing a founder to explain them.
Agency Sync: Brought their outside ad agencies into the same system so everyone followed the same "rules of the road."
The Result: The founders stepped back from daily oversight because the "logic" was now built into the tool. The creative team can now iterate on winning ads by themselves, moving the brand from "adrenaline-fueled" output to a steady, repeatable creative machine.
