Poinku Back Office is a web-based Content Management System. A service solely made to assist Indomaret Poinku (customer loyalty app for biggest chain of retail convenience stores from Indonesia).

Challenges, Approach, Outcome

Challenges: To migrate & improve the process of the old content management with an easy-to-use web-based tools. Approach: Identify current CMS process and designing several supporting features to align it with business needs. Outcome: A web-based CMS design that is easy to navigate and has measurable output.

Challenges: Integrating Sporadical System

Main feature of Indomaret Poinku Mobile App are built by of four big services: Point, Stamps, Coupons, & User Management. However, in the old management, those four services are managed using four different vendor-based system.
We try to understand the existing content systems thoroughly by analyzing their structures, data formats, and user interfaces. Also, we conduct stakeholder interviews to identify key pain points in the current systems. Here are the findings:
Fragmented User Experience: Switching between systems led to confusion, inefficiency, and increased chances of errors.
Complex Content Searching: Searching for specific content or information across the systems was difficult and time-consuming, resulting in wasted time and reduced productivity.
Inefficient Workflow: Users found it challenging to manage workflows efficiently due to badly integrated systems. Lack of streamlined processes, approvals, and notifications led to bottlenecks on several processes and missed deadlines.
Inconsistent in UI: This inconsistency made it challenging to predict interactions, leading to usability issues and slowed task completion
Limited Collaboration Features: The existing systems lacked effective features for a real-time collaboration. Result in hindering seamless teamwork.
Data Duplication & Errors: Data duplication and inaccuracies arising from manually transferring content between systems. These mistakes led to inconsistencies, time wastage, and compromised the accuracy of stored data.
Steep Learning Curves: New employees found it hard to grasp the details of each system. This made it take longer for them to start working efficiently, which slowed down the whole team.

Approach: Structured Collaboration

Clear Role Segregation

As much as I want to upgrade their old management workflow to the better one, years of working habit are quite hard to changed in such a short time.
In order to make the upgrade successful I decided to bring some of their olf structural bureaucracy as the main information architecture of this product.

Aim for Better Workflow

By reorganizing the menu/ based on each departments’ jurisdiction, I help restructure their workflow to something more efficient.
No more overlapping data, no more cross department data duplication, no more confusion in finding menu, and no more delayed administration process.
Also by designing clear information structure, I made the menu separation more modular & open to further development.

Data Display Concistency

We try to craft the solution based on some findings during the interview. In this section we focused on tackling data duplication issue, and make the search easier. I tackled the problem by designing a dashboard. Within the dashboard I displayed four different types of databases (user, point, stamps, & coupon data) carefully, making it easy for users to access data without making mistakes like duplicating information.
Difficulty in searching for a specific data happens because of format inconsistency and display disparity. The way I tried to fix that problem, is by making every data display has similar display and could be searched using name or item ID.

Outcome: Easy to Navigate CMS

Here are some screen designs that I crafted to prioritize ease of use and intuitive navigation. After several months of meetings & changes now the users can enjoy clean layouts, intuitive menus, and thoughtfully organized content, ensuring effortless interactions and better workflow.
