Overview:
Undertaken between December 2023 and February 2023, this project involved the collection of five years' worth of medical records from over 20 healthcare facilities for a client's impending legal proceedings. The initiative demanded rigorous organization, meticulous auditing, and steadfast adherence to HIPAA guidelines.
Scope of Completed Work:
- Initiating Records Requests: Initiated the process by putting in formal requests for records and ensuring the client signed all necessary documents to comply with healthcare privacy laws.
- Organization and Categorization: Systematically organized records by healthcare provider and visit date, facilitating easy navigation and access
- Quality Audits and Compliance: Conducted thorough audits to remove duplicates and drafted email correspondences to facilities delaying beyond the 30-day HIPAA guideline, ensuring timely compliance
- Secure Transfer and Collaboration: Efficiently uploaded organized records to the client’s attorney, providing crucial support for the legal case.
- Tracking System Implementation: Developed and maintained a tracking system to monitor the status of records requested, in progress, and received, ensuring a transparent and efficient process.
Impact:
This meticulous organization and proactive management of medical records substantially eased the client's legal case preparation. By ensuring the timely collection and organization of vital medical history, the project not only streamlined the legal team's access to essential documents, saving the client thousands in legal fees, but also underscored the significance of precision and diligence in handling sensitive health information.
