Digital Tip & Shift Management Platform

Introduction

A modern platform that digitizes tip distribution and shift management for the hospitality industry.

Propi is a SaaS platform designed to streamline how restaurants, cafés, and hotels manage staff tips and shifts. The goal was to eliminate manual processes and provide transparency for both managers and collaborators. Over two months, I designed the full UX and UI of the product — including mobile and web dashboards — building a system that feels lightweight, intuitive, and scalable across different types of venues.

Project Goals

Building clarity, trust, and efficiency into a messy offline process.

The main objective was to create a digital solution that simplifies the way hospitality teams handle daily operations — from scheduling to tip distribution — ensuring fairness, control, and simplicity.
Key goals included:
Designing an end-to-end experience for both managers and collaborators.
Making tip distribution transparent and traceable.
Creating a scalable, responsive interface for mobile and tablet use.
Setting the foundation for POS integrations (Fudo, Maxirest, etc.).

Benchmarking & Research

Grounding the experience in real-world hospitality workflows.

To define priorities and structure, I analyzed tools from adjacent domains — workforce management, POS, and fintech — such as Toast, Deputy, Square, and Fudo.
The benchmark focused on:
Ease of use for non-technical users.
Visibility of earnings and shift data.
Error tolerance and onboarding friction.
Dashboard hierarchy and data presentation.
This research guided the creation of two role-based experiences with distinct goals and needs.

Navigation Architecture

Two dashboards, one clear system.

The platform was structured around two main user roles:
For Managers
Overview of daily and pending tips.
Shift management and staff scheduling.
Collaborator invitations via magic link.
Access to performance metrics.
For Collaborators
Daily and pending tip summaries.
Upcoming shift visibility.
Notifications for payments and changes.
Each dashboard was mapped through simplified navigation: Home, Tips, Shifts, Collaborators, and Settings — ensuring every action is one tap away.

Design System

A unified language for transparency and usability.

Once the main flows were validated, I developed a compact design system to ensure scalability and consistency across all screens.

Inputs (text, email, numeric)
Cards (summary, collaborator, tip details)
Navigation bars and tab structures
Lists (shifts, payments, pending tips)
Feedback states (empty, loading, error)
Defined tokens
Neutral and accent color palette focused on readability.
Typographic scale optimized for mobile use.
Spacing and layout grid for visual clarity.
Iconography aligned with hospitality metaphors.
Each component followed a clear naming convention (e.g., propi/button/primary, propi/card/tip), built for future documentation and internal scaling.

Results

A simple, reliable, and scalable product foundation.

Propi bridges the gap between analog hospitality workflows and modern digital management. The result is a clean, accessible platform that reduces friction for teams and builds trust through transparency.
The project establishes a visual and structural foundation ready to integrate with existing POS systems and scale into broader operational management tools for the hospitality sector.
