Operations Assistant Training Design Project

A founder came to me needing to hire her first Operations Assistant, but there was nothing to hand off. No documentation, no system, just everything living in her head. So I built it from scratch.
I designed a complete training and onboarding pathway that didn't just tell someone what to do, it taught them how to think through daily, weekly, and monthly operational decisions. This meant building a Core Tools Overview mapping every system and how they connect, an Automations Overview explaining what runs on its own versus what needs real judgment, and a structured pathway that moved a new hire from pure observation to fully independent execution.
The training covered every platform the role touched. ClickUp, Airtable, Zapier, Mighty Networks, ThriveCart, ConvertKit, all of it. Every written SOP was paired with a Loom walkthrough so different learning styles were covered and nobody had to wait on me to get unstuck.
Everything lived inside ClickUp as a single source of truth, so a new hire could move through onboarding, execution, and oversight in a clear, trackable way instead of piecing things together from scattered docs and half-remembered conversations.
The result was a real enablement system. The founder could hire, train, and delegate real operational responsibility with confidence, without creating bottlenecks or putting live systems at risk.
Skills: SOP Development, ClickUp, Training & Enablement, Workflow Documentation, Process Design, Operations Management
Deliverables:
4-week structured training pathway with clear progression milestones
Core Tools Overview mapping all primary systems
Automations Overview documenting automated vs manual processes
Loom walkthroughs paired with written SOPs throughout
Centralized ClickUp hub as single source of truth for onboarding
All training materials, systems overviews, and role responsibilities were centralized in ClickUp to create a single source of truth. This structure allowed new hires to progress through onboarding, execution, and oversight in a clear, trackable way — without relying on scattered docs or verbal handoff.

Operations Assistant Training Pathway — Overview

A structured onboarding and training pathway designed to bring a new Ops Assistant from system orientation to independent execution. Built to support judgment, accuracy, and confident ownership across daily, weekly, and monthly workflows.

Automations Overview — What’s Automated vs Manual

Documentation outlining key operational automations, triggers, and exceptions. Built to help ops team members understand what runs automatically, what requires human judgment, and how to troubleshoot when something breaks.

Core Tools Overview — Ops Systems Map

A clear, centralized overview of all core operational tools and how they interact. Created to reduce confusion, support faster onboarding, and ensure team members understand what each system is responsible for — and why.
