🤔 Understanding The Background
The General Assembly (Sidang Raya XVIII) of the Communion of Churches in Indonesia (CCI), or in Bahasa Persekutuan Gereja-Gereja di Indonesia (PGI) is a significant event held every five years, gathering over 1000 church committees from across Indonesia. This event involves numerous participants and complex logistics, requiring efficient coordination among event organizers.
🧐 The challenge
Several years ago, before the digital era advanced as it is today, the organizing committee faced challenges in coordinating the General Assembly. With a large number of participants and tasks, the committee struggled to organize procedures efficiently. This led to tasks being overlooked or left undone due to the disorganized communication system.
Additionally, participants faced difficulties in accessing meeting schedules, exacerbated by changing locations and meeting rooms daily, and printed schedules were prone to being lost.
And to assist with the transition from manual work to digital, I'm trying to identify solutions to this problem.
How might we leverage digital solutions to address the challenges faced by the organizing committee and participants during the General Assembly, given the inefficiencies caused by manual coordination and the lack of accessibility to schedules?
💡 To answer the question above in finding the best solution in developing this application, here are the key points that we want to achieve:
🤓 The Approach
In the process of conducting research, I took several examples of application categories that could be used as inspiration for creating UX flows and UI designs, such as
Google Tasks, Google Calendar, and Travel Apps. 
Meeting with the core committee
As for its key features, the client has already informed that the application must include an agenda, attendance, food promotions, and tour packages for participants. Therefore, during the development process, I didn't focus extensively on in-depth research about competitors or similar applications.
Additionally, to ensure the best flow and meet the needs, I actively consulted with the Project Manager and stakeholders before presenting the overall flow to the PGI members for feedback.
🥰 Final Design
After going through several design iterations and gathering feedback, I finally delivered the application to streamline the coordination of the General Assembly event.

♣︎ Effortless initial registration
This app is closed and not open to the public, so only registered participants will be given dummy accounts that can still be updated by them. The subsequent data entry after users successfully log in is mandatory to facilitate the committee in preparing transportation and meals.
♣︎ Experience Beyond Event Schedules
This app doesn't just focus on event schedules; it's made more intuitive by showcasing food promotions and tour packages. This makes the app engaging for users.
♣︎ Effortlessly Manage Attendance
With a large number of participants, over 1000+ people, this feature makes it easy for participants to register attendance, and for the committee to check if any participants have not attended the assembly.

Toraja boasts natural beauty not to be missed. Another highlight feature is participants can freely choose from over 100+ tour packages provided.

💃🏽 Project Takeaways
By joining this project, my time management skills have been honed as I have to complete the first draft within the initial 2 weeks, followed by quite dense reviews and feedback sessions. Additionally, to streamline the explanation to developers, I had to create neat documentation and prototypes for them to easily understand the application flow. Overall, I am very satisfied with the outcome, as is my client, where I managed to maintain the quality of my design style within a very limited time frame.
