Streamlining PG Management with an All-in-One Solution

SmartStay is an B2B SaaS product that allows PGs, hostels and service homes management where the admin can manage their customers, rooms, vendors and other services.

Room Management: Easily manage room availability, bookings, and occupancy status.

Customer Management: Keep track of customer details, stay history, and preferences.

Inventory Management: Monitor and manage your inventory with real-time updates.

Vendor Management: Seamlessly coordinate with your vendors and suppliers.

Complaint Management: Efficiently handle customer complaints and feedback.

Utility Bill Management: Track and manage electricity bills and other expenses.

PG owners and managers struggle with manual or outdated processes for managing day-to-day operations like member records, room and bed allocation, invoicing, amenities management, and asset tracking. These inefficiencies lead to human error, time wastage, and a lack of transparency in financials and asset utilization. Moreover, there is no consolidated platform that allows seamless management of vendors and supplies, creating gaps in service delivery.

A comprehensive SaaS platform tailored for PG management that centralizes all operational tasks in one intuitive dashboard. This platform would enable PG owners and managers to efficiently manage:

Members: Tracking new and existing residents, their stay duration, payments, and personal preferences.

Rooms & Beds: Assigning rooms/beds based on availability, preferences, or pricing tiers.

Amenities: Managing shared resources like Wi-Fi, laundry, and other perks while offering different packages to residents.

Invoices: Automated invoicing and payment collection, ensuring accurate financial tracking.

Assets: Keeping tabs on furniture, appliances, and other valuable assets within the PG.

Vendors: Managing contracts, purchases, and interactions with suppliers for cleaning services, food, maintenance, etc. The platform will help streamline daily operations, reduce administrative burden, and offer real-time insights into finances, occupancy, and resource utilization.

We have 4 personas for this situation. PG Manager (Primary User), PG Owner (Decision Maker), Resident (End User) and Vendor/Service Provider (Supporting User).

Serving as a visual representation of a digital interface's basic structure and layout. It is a skeletal, low-fidelity outline that focuses on the arrangement and placement of key elements, such as content, buttons, and navigation, without detailing the visual design or specific visual elements like colours and images.

A comprehensive document that provides a set of rules, standards, and specifications for the consistent design and presentation of a brand or product.

Focusing on the aesthetic aspects of a product, emphasizing the creation of visually appealing and engaging experiences.

Over the course of timeline, our project underwent a transformative journey, propelled by the dedicated efforts of our UX and UI design. Leveraging the versatile capabilities of Figma, a collaborative design tool, we achieved remarkable outcomes.
