Sales System Analysis and Development

Zach Ralph

Overview šŸ”Ž

At a multi-site automotive dealership, I was tasked with identifying pain points in the current inventory management process and devising a strategy to streamline the system, I began by conducting a thorough analysis of the dealership's existing processes and identified several areas for improvement.

Problem & Solution šŸ¤

The key issue was the lack of a user friendly tracking system for vehicle location, service status, and sale status. This made it difficult for the dealership to accurately determine the availability of vehicles and delayed the sales process. I proposed the implementation of a new tracking system that would provide real-time data on the location and status of every vehicle in the inventory.
Goals/Requirements: • Ensure the system was as user friendly as possible - employee update compliance was key to ensure accurate system data. • Have the information readily available between multiple dealer employees and locations. • Reduce the average time for a vehicle to sell - timed from initial purchase through to delivered sale.

Process šŸ›£

After discussing the needs of the upper management team for the new system, a 3 stage plan was put in place, however, one of the main restrictions that the dealership had that I needed to work around was a limited access to new technologies (as per the direction of the owner). Using their currently available softwares I broke down the new system into the 3 following parts:
A tracking dashboard for upper management
A system where lower level employees could submit changes to vehicle status without being able to add or remove inventory from the system
A viewable dashboard with restricted information where the sales team could share inventory information with potential clients without revealing items like Inventory Cost etc.
After building the system, it was also decided that a fuel status and fuel receipt tracker would be integrated into the system to ensure that all vehicles maintained an acceptable level of fuel at all times.

Results šŸŽ

After the implementation of the new tracking system, I observed a significant improvement in the dealership's sales performance. The average time to sale decreased by 22% due to the ability to quickly identify the availability of vehicles and reduce the time spent on unnecessary paperwork.
Overall, my analysis and proposed solution resulted in a more efficient and effective inventory management system for the dealership, leading to improved sales and customer satisfaction. If you're looking to improve your business operations, don't hesitate to contact me.

This system changed the way we did business at a fundamental level. Being able to be constantly aware of the status of vehicles at our other location without having to call them an average of 8 times per day meant my team and I were able to focus on what mattered: Customer Service and Selling More Cars šŸ—£

Takeaways šŸ“£

It's truly incredible what can happen when system transparency is available to everyone in the chain of sales. Even a small change in one system can have an impact on all parts of the sales process.
