Day three of GITEX: 248 unread messages, 40 card photos, a dozen voice notes. Somewhere in there are your next five customers. Which ones?
1. The problem
Event sales teams collect leads in WhatsApp groups. Afterwards, those leads are buried in chats, photos and audio. Someone spends hours copying them into a spreadsheet, nobody knows which leads are hot or who owns them, and follow-ups go out too late.
2. The solution
Rectraa turns the chat into a ranked lead list in three steps:
Export the WhatsApp event chat.
Upload it to Rectraa.
Get structured leads, each with intent, priority, an owner, a summary and a follow-up draft.
Reps keep the habit they already have, and Rectraa does the rest.
3. Under the hood
Chat parsing, OCR for business cards and speech-to-text for voice notes pull out every detail. Each person is matched to their contact info. AI then scores intent (HOT, WARM or COLD), writes a one-line summary and drafts the follow-up email.
4. The product
A color-coded lead table you can scan in seconds, with an owner on every lead. Open a lead to see its summary, notes and business cards, then send a context-aware follow-up in one click.
The outcome: from a messy group chat to a product
Where it started
The idea came out of an event called GITEX. We came back with a WhatsApp group full of leads and spent one week turning it into a spreadsheet. By the time the follow-ups went out, several promising leads had already gone cold. Talking to other teams, we found everyone had the same problem.
Testing the idea
We started small: a script that read an exported WhatsApp chat and pulled out names and numbers. Running it on real event chats showed what was missing. Contact details alone weren’t enough. Teams needed to know who was serious, who owned each lead, and what to say next.
Becoming a product
That turned a simple extraction tool into Rectraa. Business card OCR and voice-note transcription came next, then AI intent scoring, lead ownership and one-click follow-up drafts. The design kept one rule from the start: reps don’t change how they work at events. They keep using WhatsApp, and Rectraa handles everything after.
Where it is now
From a messy chat to a ranked lead list in seconds, instead of 7 days of manual work
Every lead has an owner, so there’s no duplicate outreach
