Overview

Built an AI-powered customer support triage system that processes tickets from multiple channels, classifies them using OpenAI, routes urgent issues to the right team, logs every ticket, and automatically acknowledges customers.
The system turns incoming support requests into structured, actionable tickets within seconds.

The Challenge

The client was receiving support requests through email and website forms, creating several operational problems:
Tickets required manual review and classification.
Urgent issues could be buried among routine requests.
Customers waited hours for acknowledgement.
Support agents had no standardized prioritization system.
Manual triage and reply drafting consumed significant team time.
The client needed a system that could handle increasing ticket volume without adding manual workload.

The Solution

I designed and implemented an intelligent support automation workflow using n8n, OpenAI GPT-4o-mini, Gmail, Slack, Google Sheets, and JavaScript.
The architecture combines multi-channel intake, data normalization, AI classification, routing logic, reporting, and automated customer communication.

Workflow

Email / Website Form → Ticket Normalization → AI Classification → Routing → Slack + Sheets + Customer Reply
Gmail monitors the support inbox while website forms provide an additional ticket source.
A JavaScript node converts both inputs into a standardized ticket structure.
OpenAI analyzes each ticket and returns structured information including topic, urgency, sentiment, summary, routing recommendation, and reply draft.
The AI response is parsed, validated, and merged with the original ticket data.
Slack receives a formatted alert containing the ticket priority and relevant context.
Google Sheets stores the complete ticket and classification data.
Gmail immediately sends the customer a personalized acknowledgement containing a ticket ID and expected response window.

AI Decision Logic

The system classifies tickets across multiple dimensions:
Topic: Billing, Technical, Shipping, General
Urgency: Critical, High, Medium, Low
Sentiment: Angry, Frustrated, Neutral, Positive
Routing: Determines the appropriate support path
Summary: Converts long customer messages into actionable context
Reply generation: Creates a professional acknowledgement based on the ticket
Critical tickets receive additional Slack notification handling so urgent issues can be addressed immediately.
