Background

The client is a large recruitment company that uses an ERP website system to manage its business, CRM, and financial operations. However, the existing ERP system had not been updated in several years, resulting in an outdated design and cluttered navigation that made it difficult for users to find the information they needed. As a result, new users (business leaders and headhunters) required extensive training to effectively utilize the system, which resulted in lost productivity and increased training costs.

My Roles

UI/UX Designer: Responsible for creating the wireframes and visual designs of the new ERP system, as well as conducting enhancement and iteration based on the business leader's feedback.

Project Scope

Time Frame: 1 year
Project Scale: Redesign the entire ERP system, including the main dashboard, sidebar menus, and data display.
Tools: Figma( Files and Prototype), Google Meet (Meetings)

Action

There are also challenges that arise during this project development, few of them are:
Resistance to change from experienced users who are familiar with the old system and may be resistant to new design and navigation changes.
Balancing the need for a modern and visually appealing design with the need for a functional and efficient interface that allows users to complete their tasks quickly and easily.
Adapting the new design and navigation to meet the specific needs of the HR management, including the display of complex data sets and the integration of multiple systems.
Coordinating with the development team to ensure that the new design and navigation can be implemented efficiently and effectively without disrupting existing systems.
Ensuring that the new design and navigation are scalable and adaptable to future changes in the business requirements and technology advancements.

Solutions

Involving business leaders in the design process through prototype feedback and iteration. Their feedback is useful to ensure the product meets their need. During the development process, I also designed a notification banner for user to jump back to the old design or new design until all modules are fixed.
Working closely with Business Leaders while adapting the new design and navigation to meet the specific needs of the HR management to understand the specific workflows and data sets used in the industry.
Coordinating with the development team and working closely with developers throughout the design process, including providing detailed design specifications and collaborating on implementation.
Creating a flexible design system to ensure scalability and adaptability that can accommodate future changes and incorporating feedback and data analytics into future iterations of the design. The design system is also usable to maintain consistency of design across the entire ERP system.
Conducted user research to understand the pain points and needs of the target audience, including new users and experienced users with their roles in the system.
Redesigned the website's information architecture and navigation to make it more intuitive and user-friendly, with clear labels and organization of data.
Implemented a modern and visually appealing design that better reflects the company's brand guidelines, with a consistent color palette, typography, and iconography.
Conducted user testing and iteration to ensure the new design was meeting user needs and improving user experience, including reducing training time for new users.
Added new features and functionality to improve the user experience, such as predictive search, customizable dashboards, and streamlined data entry processes.

Impact and Conclusion

Based on my analysis, redesigning Talentvis ERP system with a user-centered design approach, including conducting user research, creating user personas, and conducting extensive user testing and iteration, has significantly impacted the workflow and ease of learning time for new business leaders in the company. By prioritizing usability and task efficiency throughout the design process, the new design and navigation system has improved user satisfaction and efficiency, resulting in increased productivity and better overall business outcomes.
Furthermore, by addressing potential challenges such as resistance to change from experienced users, compliance with regulatory requirements and data security measures, and ensuring scalability and adaptability, the new design and navigation system has been successfully implemented while meeting all necessary requirements.
Going forward, I recommend ongoing research and iteration to ensure that the design system remains flexible and adaptable to future changes in business requirements and technology advancements. This will ensure continued success and improved business outcomes for Talentvis.
