INTRODUCTION

Indra, a prominent leader in automotive recycling and sustainable initiatives, identified a need for a structured, efficient system to manage dealership access requests within their network.

To meet this need, I developed a comprehensive app on Bubble.io that centralized these requests, promoting a standardized workflow, transparent steps, and streamlined oversight for administrators.

PROBLEM STATEMENT

Core Challenges

Inconsistent Information: Requests often lacked uniformity, resulting in delays and inefficiencies during processing.
Disorganized Communication: Without a central system, administrators had varied levels of insight into request statuses.
Manual Verification and Follow-Ups: Admins had to manually check and follow up on incomplete or incorrect information, slowing the process significantly.

Key Business Risks

The absence of automation led to inconsistencies, reduced processing speed, and difficulty tracking requests. These inefficiencies hindered Indra's ability to swiftly and reliably onboard new dealerships, leading to potential operational slowdowns.

SOLUTION

Approach

To address these challenges, I built an app on Bubble.io that included:
Centralized Request Form: Dealerships submitted initial requests through an intuitive form capturing key details and documents.
Backend Automation: Automated pre-validation checked submissions for completeness and compliance. Requests with issues were automatically declined, and dealerships received an email with feedback.
Role-Based Administration: The app distinguished between two administrator roles: Assistants, who reviewed pre-validated requests and provided feedback, and Advisors, who carried out on-site validations.
Responsive Design: Fully optimized for desktops, tablets, and phones, allowing Advisors to conduct audits seamlessly on their tablets.
Email Automation: Mailjet was integrated to automate email notifications, ensuring timely updates to dealerships and administrators throughout the process.
Secure Access: A custom one-time code login feature was developed to secure dealership access to follow-up forms.

Core Solution Components

Step-by-Step Workflow: The app incorporated a multi-step workflow that ensured requests progressed smoothly, with automatic feedback and role-specific actions.
Automated Feedback System: Initial submissions were checked automatically, and dealerships were instantly notified of any required corrections.
Responsive Form Management: Administrators could review, edit, and audit submissions seamlessly across devices.

IMPLEMENTATION

Development and Timeline

This app was built from scratch using Bubble.io, employing custom workflows and backend automation to handle complex user interactions and validations. Mailjet integration facilitated real-time communication, keeping all stakeholders informed. Additionally, the custom one-time code authentication provided enhanced data security for dealership users.
