Empowering document owners by providing them control over the contract data visibility.

Introduction & Problem Definition

Document owners often lack control over who can see or modify specific data fields in contracts, leading to inefficiencies and potential errors. While working in a cross-functional team we discovered a significant opportunity to enhance the management of contract workflows by allowing document owners to control data visibility, ensuring that the right people have access to the information at the proper time.

Discovery

To understand the problem we conducted a full analysis of tickets submitted to customer success, performed in-depth interviews with real users, and carried out user story mapping to better understand their journey. These activities provided us with valuable insights into users' needs and pain points and allowed us to see opportunities.

User flows

Using research data, we created user flows to visualize and refine user actions within the feature. This helped us focus on key challenges and design intuitive, effective pathways for a better user experience.

Ideation

After laying the groundwork with thorough research, I moved on to ideation. My goal was to create an intuitive solution that addressed the problems identified during our research phase. The first step was to generate a wide range of explorations and potential solutions to the problem. This stage was highly creative and messy, resulting in numerous diverse ideas. I regularly consulted with the design team, presenting these ideas during design reviews and incorporating feedback received to refine and iterate on them. This stage concluded with the selection of preferred solution paths, which were then prepared for testing with users.

User testing

This stage concluded with the selection of preferred solution paths, which were then scheduled for testing with users. The test results were analyzed and synthesized. Subsequently, conclusions were drawn and translated into key actions. The best solution was refined and retested using the same methodology to confirm assumptions.

Challenges and Solution

We faced challenges with overlapping permission settings between teams. By collaborating closely with the other team and leveraging support from both product teams, we developed effective solutions and prioritized implementation. Throughout the project, I worked closely with the development team to provide all necessary designs and conducted thorough design QA to refine areas as needed.

Impact

The initiative to empower document owners with control over contract data visibility yielded substantial improvements in both user experience and operational efficiency:
Post-launch feedback indicated higher user satisfaction with the enhanced visibility controls, contributing to improved overall user retention and engagement metrics.
By addressing a critical pain point in contract management, Contractbook has positioned itself competitively with enhanced features that exceed industry standards.
Implementing a solution that allows document owners to control access and modifications to specific data fields within contracts ensures confidentiality and regulatory compliance.
By introducing data field access management, document owners can swiftly adjust permissions as needed, reducing errors and enhancing workflow efficiency.
