Working in a cross-functional team with Contractbook, a contract management platform, our main goal was to enhance users' negotiation and collaboration experiences.

Introduction & Problem Definition

Based on customer journey research, we learned that users, especially in legal roles, struggled with negotiation on the Contractbook platform, leading them to use text editors and disrupt collaboration. The project aimed to enhance the negotiation experience and improve collaboration throughout the contract lifecycle.

Discovery

To fully understand the underlying problem, we analyzed customer support tickets, conducted user interviews, stakeholder interviews, and a competitive analysis. This provided valuable insights into user needs and pain points, revealing key opportunities. We conducted an Opportunity Solution Tree exercise to identify challenges and opportunities for innovative solutions, allowing us to prioritize actions and quickly deliver user value.

User flows

Based on the research findings, I developed user flows to visualize the negotiation process from both sides. This clarified user navigation, refined the project scope, and ensured we designed intuitive pathways to enhance the overall user experience.

Ideation

After thorough research, I brainstormed solutions aimed at creating a user-friendly approach to address identified issues. I explored several ideas and concepts, refining them with input from the design team, and ultimately selected promising solutions for user testing.

Solution

The challenge was balancing technical limitations with user needs. Instead of a major redesign, we implemented an interim solution that allowed users to suggest changes and introduced a private comments feature. This addressed immediate needs while giving us time to develop the final design. We created and tested a live prototype, refining it through iterations.

Impact

The initiative to enhance users’ negotiation and collaboration experiences resulted in significant improvements across several key areas:
Strengthening product integrity: By addressing the challenge of insufficient negotiation capabilities, particularly for users in legal roles, Contractbook now offers robust features directly within the platform. This enhancement reduces the need for users to resort to external tools, streamlining their workflow and increasing their productivity.
Iterative UX improvements: Through iterative testing and user feedback, the negotiation interface underwent continuous enhancements. User-centric adjustments were made in real time during the testing phase, resulting in a solution that resonates closely with user preferences and needs. Users now experience reduced friction in contract negotiations, leading to faster deal closures and reduced turnaround times.
Competitive positioning: Contractbook has strengthened its competitive position in the contract management software market by addressing critical user pain points related to negotiation capabilities. The platform now offers industry-leading features that surpass competitor offerings, attracting new users and improving customer retention rates.
