We partnered with an education-focused organization to design and build a comprehensive Scholarship & Exam Support Management Platform. The platform streamlines the end-to-end process for applicants seeking financial support to take international standardized exams such as IELTS, GRE, and TOEFL. It serves as a centralized system for managing applications, conducting screenings, scheduling interviews, and awarding scholarships—all in one place.

The client needed a robust digital solution to:

Reduce manual tasks like sorting applications, scheduling interviews, and collating data.

During design and development, we encountered several key challenges:

Complex workflows: The scholarship process involved multiple stakeholders, screening stages, and conditional criteria.

Data organization: Ensuring all submitted documents, scores, and interview notes were easy to access and compare.

Applicant communication: Keeping applicants informed at each stage without overwhelming the admin team via automated emails.

To solve these challenges, we implemented a series of targeted solutions:

We built a structured application workflow, mapping every stage from submission to award, allowing admins to move candidates smoothly through each phase.

Integrated custom dashboards for tracking applicant progress, filtering based on criteria, and flagging applicants for review.

Enabled automated email notifications to keep applicants informed at each stage (e.g., “Application received,” “Interview scheduled,” “Decision made”).

What I learned: Workflow-driven platforms are only successful when the experience balances complexity for admins with simplicity for users. We designed with both in mind, ensuring the system is scalable without becoming overwhelming.

With over 3000 applications received on the platform in the first 2 weeks of launch the system performed at optimal capacity without lags. Some other Key outcomes include:
