Overview

Professional Document Services Inc. provides a secure, digital customer portal for legal professionals to request, retrieve, and track legal documents efficiently. The existing system required a modernized user experience to enhance usability, streamline workflows, and improve order tracking.
This project focused on redesigning the portal’s interface to make legal document requests simpler, faster, and more transparent, ensuring users could securely manage high-volume legal orders with ease.

UI/UX Design – Created a modern, user-friendly interface tailored to legal professionals. ✅ Workflow Optimization – Improved the request and tracking process for seamless order management. ✅ Search & Filtering Enhancements – Designed intelligent search tools to help users find and manage legal requests quickly. ✅ Order Status Tracking – Developed a clear, color-coded system for tracking request progress. ✅ Secure Document Retrieval System – Ensured documents could be accessed in a secure and compliant manner.

Problems & Solutions

1. Complicated Document Request Process

🔴 Problem: The previous system had a complex, multi-step request flow, making it difficult for users to submit orders efficiently.
Solution: Redesigned a streamlined, step-by-step request process with a clear progress indicator, ensuring users can submit document retrieval requests quickly and accurately.

2. Inefficient Order Tracking & Management

🔴 Problem: Users lacked a clear way to monitor their document requests—leading to confusion about order status, completion times, and pending actions.
Solution:
Introduced a centralized dashboard where users can track all orders at a glance.
Implemented a color-coded order status system (e.g., In Progress, Complete, Ready for Invoice, Issue).
Added search, filtering, and sorting options to help users quickly locate specific orders.

3. Complicated Attorney Selection & Contact Process

🔴 Problem: The portal required users to manually scroll through a large list of attorneys, slowing down the workflow.
Solution:
Designed an efficient attorney selection modal with search and filtering functionality.
Included an "Add New Attorney" feature for quick updates.

Final Results & Impact

📂 Improved Order Transparency – Color-coded statuses and structured details eliminated confusion around tracking. 🔎 Enhanced Search & Filtering – Users could find and manage orders 30% faster than before. ✅ Seamless Document Retrieval – A modernized, secure system for legal professionals to access sensitive records.
