AI Automation & Internal Tool Development with BuildShip & OpenAI

Challenge

Developed as an internal initiative by Toolshed, Matchify.ai was created to solve the time-consuming process of analyzing inbound job opportunities and matching them against the agency's portfolio of technical case studies. Job descriptions often contain unstructured requirements, varying technical terminology, budgets, timelines, and incomplete information. The challenge was to build an AI-powered web application that could extract relevant job requirements, intelligently rank historical projects, and provide actionable proposal insights without overwhelming the AI with unstructured context.

Goal

To develop an AI-powered job analysis and portfolio matching platform that automates the process of analyzing inbound opportunities and identifying the most relevant Toolshed case studies. The objective was to combine AI automation, weighted matching logic, and an intuitive web application to help the sales team quickly understand job requirements and create more technically relevant proposals.

Our Contribution

AI-Powered Job Analysis: Built an automated analysis workflow that uses OpenAI GPT-4o to process unstructured job descriptions and extract standardized information including project type, required skills, budget, timeline, and key requirements.
AI Portfolio Matching: Developed a weighted matching system that evaluates potential case studies using a strict 60% technology stack / 40% industry scoring model, allowing the platform to rank and surface the agency's three most relevant projects.
BuildShip AI Orchestration: Engineered the backend workflow in BuildShip, connecting REST API triggers, structured context variables, and OpenAI processing to create an automated AI analysis pipeline.
Flutter Web Application: Developed the web application using Flutter, creating a responsive interface for submitting job descriptions, reviewing extracted requirements, and exploring matched portfolio projects.
Dynamic Analysis Dashboard: Built a dashboard that organizes parsed job requirements, skills, budget, timeline, matching scores, and proposal talking points into a structured interface for rapid opportunity evaluation.
AI Response & JSON Processing: Developed robust Dart parsing logic to recursively handle nested and stringified JSON responses from the BuildShip backend, ensuring unpredictable API payloads could be processed reliably.
Responsive Web Design: Implemented responsive Flutter layouts that adapt between desktop and mobile views, replacing problematic horizontal layouts with flexible components to prevent rendering issues and maintain usability across screen sizes.
State & Workflow Management: Implemented application state-reset logic to clear previous job analysis data between searches, ensuring each new opportunity starts with a clean analysis workflow.

Overview of Project Success

Developed as an internal Toolshed AI automation initiative, Matchify.ai transformed manual job analysis and portfolio research into an automated AI-powered web application. By combining Flutter, BuildShip, OpenAI, REST APIs, and weighted portfolio matching, the platform can analyze unstructured job descriptions, rank relevant case studies, and generate proposal strategy insights, creating a faster and more consistent workflow for evaluating new opportunities.
