Goal:
Design and implement an all-in-one ClickUp workspace to centralize project, team, and operational management across departments—streamlining how the client handles everything from sales and shipping to HR and customer support.
Before:
The Client, a product-based apparel development agency, managed its growing operations with siloed systems, relying on spreadsheets and manual updates to track progress across departments. As the team expanded, there was an urgent need to build a single, centralized system to manage projects, vendor fulfillment, recruitment, customer service, and marketing—all in one place.
My Role:
Operations Manager & ClickUp Systems Lead
My Strategy:
Process Mapping: Broke down departmental workflows and built task lists, folders, and views tailored to each team’s needs (e.g., status workflows, task ownership, custom fields)
Custom ClickUp Architecture: Designed a workspace structure with 6 key Spaces—Admin, HR, Operations, Sales & Marketing, Vintage Business, and ClickUp Training
Automations + Integrations: Connected ClickUp with Dropbox (for vendor files), Gmail (for comms), HelpScout (for support tickets), and Google Calendar
Visibility & Accountability: Created dashboards for team leads and managers, using filters by status, due dates, and owners to enable proactive bottleneck resolution
Support & Documentation: Developed full training hub and SOP documentation to onboard team members, reduce errors, and ensure adoption
Permission Setup: Defined user roles and access by department to protect sensitive data and reduce cognitive overload

Outcome:
Built and launched a fully integrated ClickUp workspace tailored for cross-departmental collaboration
Organized 6 custom-built Spaces with distinct workflows, permissions, and automations
Improved internal visibility and team accountability across 5 departments
Connected external tools (Google Calendar, HelpScout) using automations and integrations to reduce manual task duplication and enhance workflow efficiency
