I conducted a comprehensive back-office operations audit and database restructuring of an Asana environment for a growing construction business. The firm's initial operational tracking was fragmented and lacked critical database controls. Key data fields were routinely left blank, and the interface completely lacked dedicated pipeline stages to track client decisions or manage project handoffs.
My diagnostic audit surfaced critical data integrity issues:
• Missing estimated contract values on multiple records.
• Incomplete priority assignments and loose task parameters.
• Unassigned responsible roles, causing major gaps in accountability.
• No structural mechanism to transition awarded jobs cleanly into active project fulfillment.
🛠️ The Solution (Restructured Architecture)
I engineered a standardized 8-stage construction operations pipeline to map their complete business ecosystem:
New Leads ➔ Estimating ➔ Proposal Sent ➔ Awaiting Decision ➔ Won ➔ Project Handoff ➔ Active Projects ➔ Complete
To permanently stabilize their back-office data, I built four custom tracking fields to enforce consistency across every single record:
1. Project Type: Categorizes the exact type of construction work.
2. Priority: Establishes relative operational urgency across jobs.
3. Estimated Contract Value: Mandates real-time tracking of contract values as soon as metrics are established.
4. Responsible Role: Explicitly defines which internal team role owns the next actionable phase of work.

To eliminate manual tracking errors, I configured and behaviorally verified a native Asana automation rule.
