Board Meeting Control Bundle
A self-initiated Command Current template product by Spencer Swain for small nonprofit and volunteer boards.
The brief Create a practical path from preparing a board decision to recording it and following up between meetings. The intended users are small nonprofit and volunteer boards that need editable meeting documents and a separate action log.
The workflow The Word packet moves through meeting preparation, a decision-ready agenda, a one-page decision brief, prior-action review, minutes, a decision register, assignment handoff and closeout. The Excel workbook carries the follow-up into separate meeting, decision and action logs. Users enter the same Meeting ID in both tools to cross-reference records.
What the product includes • An 11-page editable Word packet and matching US Letter print PDF • A four-page fictional worked example showing a proposed cleanup pilot, a decision and assigned follow-up • A five-tab Excel workbook with capacity for 75 meeting records, 100 decisions and 150 actions • A two-page spreadsheet quick-start guide
Design choices The documents separate a proposed choice, the recorded decision and the work assigned afterward. Named owners, due dates and status fields make each handoff explicit. In the workbook, dropdowns standardize entries, and the Overview summarizes open, overdue, due-soon and blocked actions, minutes pending and decisions needing attention. Meeting-focus and owner-workload views use entered IDs and names. The fictional Example tab is separate from live records and does not affect totals.
Scope and limitations The live logs start blank. Meeting IDs are manual references, not enforced database links. The print PDF is not a fillable form. The files are intended for Microsoft Word and desktop Excel; other apps may vary. Boards should adapt quorum, voting, approval and record-retention procedures to their own rules.
