This is a concept build, not a client project. It shows how I would set up an AI voice receptionist for a dental clinic, using the same Vapi, Make and Google Calendar pieces I've already shipped in my Medicare appointment-setter build.
The problem
The front desk at a dental clinic is busy with patients in the room, so calls go to voicemail. A caller who wants a cleaning will often just book somewhere else. The calls also aren't all the same: most are routine bookings and questions, but a caller in pain needs a person quickly, not a script.
Proposed workflow
Answer every call 24/7 with a voice agent that introduces the clinic by name.
Capture name, phone number, new or returning patient, and the reason for the call.
Sort the call: booking, reschedule, question, or dental pain.
Book or move the appointment in Google Calendar, answer from the approved FAQ, or hand the caller to staff.
Send the clinic a call summary and the patient a reminder before the visit.
Routing rules
The routing decision matters more than the script. A cleaning request, a reschedule, an insurance question and a toothache each need a different next step. The agent only books, moves and answers from the clinic's approved information. Anything about pain, symptoms or treatment goes to a person.
Safety first
The agent never gives medical or dental advice. If a caller describes swelling with trouble breathing or swallowing, it tells them to contact emergency services right away and then alerts the team. Patient details are only collected for booking, and the setup can use providers that sign a BAA if the clinic needs HIPAA compliance.
Status
Concept only: this hasn't been deployed for a dental clinic yet, so there are no results to report. The booking, calendar and webhook parts come from my live Medicare appointment-setter build, linked below. If you run a dental practice and want this built, see my dental service.
