This is a concept build, not a client project. It shows how I would set up an AI voice receptionist for an HVAC company, using the same Vapi, Make, Google Calendar and GoHighLevel pieces I've already shipped in my Vapi call-routing and Medicare appointment-setter builds.
The problem
HVAC calls are urgent, and they don't wait for office hours. A caller with no heat or a broken AC usually wants someone today, and if the phone goes to voicemail they call the next company on the list. Not every call is equal either: some are routine maintenance, some are emergencies, and some are safety issues that need a different response.
Proposed workflow
Answer every call 24/7 with a voice agent that introduces the company.
Capture name, phone, address, issue type and urgency.
Triage the call: routine visit, urgent job, quote request or safety issue.
Book routine visits on the calendar, or text the on-call tech for urgent jobs.
Log the contact and a call summary in GoHighLevel, and trigger a follow-up if the caller didn't book.
Safety first
If a caller mentions a gas smell, the agent doesn't try to book anything. It tells the caller to leave the building and contact emergency services, then alerts the team.
Status
Concept only: this hasn't been deployed for a client yet, so there are no results to report. The booking, webhook and CRM parts come from my live Medicare and Vapi builds, linked below. If you run an HVAC company and want this built, see my HVAC service.
