Copenhagen-based creative studio and production house with storytelling at their core. Curators of visual communication – they document, translate and communicate their client’s narrative through the tools of social media management, creative direction and content production.

The Challenge

Before working together, ALET Agency faced several challenges with their Notion workspace, which hindered their efficiency and added stress to their daily workflow.
Key issues included:
Underutilizing Notion’s capabilities for automation and integration, leading to duplicated effort and inefficiencies.
Overwhelming and disorganized workspaces, resulting in forgotten tasks, missed deadlines, and lost information.
A need for seamless syncing between client portals, internal project management, and personal calendars to stay on top of deadlines and tasks.
Manual tracking of performance statistics and analytics in Google Sheets and InDesign, which was time-consuming and disconnected.

The Solution

Our approach was to redesign ALET Agency’s Notion workspace to be more intuitive, efficient, and visually engaging. Because they already had a workspace and were looking primarily for optimisation rather than building from scratch The Notion Forfait was the perfect service for them.
The system we implemented included:
Customizable Client Portals
A strong, replicable portal template for onboarding new clients.
Integration of performance analytics and statistics directly in the portal, allowing clients to track progress in real-time.
Project Management & Task Tracking
A centralized project tracker and timeline for better planning and visualization of upcoming tasks and deadlines.
Task manager that syncs internal to-do lists with client portals, ensuring no task gets lost or buried.
Content Calendar & Visual Grid
A calendar-based system that corresponds to a visual monthly grid for social media content, making it easy to plan, review, and approve posts in one place.
Automations & Syncing
Zapier integrations to streamline calendar syncing and task scheduling.

The Results

By the end of the project, ALET Agency had a streamlined, user-friendly Notion workspace that transformed the way they manage projects, tasks, and client relationships. The new system eliminated confusion, reduced manual effort, and provided a clear overview of deadlines, performance metrics, and content plans.
