Gentle Studio is an Amsterdam-based web design agency specializing in the fashion, interior design, and creative industries. Led by Angelique, the studio creates visually stunning and functional websites tailored to its clients’ needs.

When Angelique reached out, she was feeling overwhelmed by the back end of her business. Managing projects and tasks across multiple platforms left information scattered and hard to track. This disorganized workflow resulted in missed deadlines, confusion about project timelines, and a lack of a clear overview of client work. Angelique needed a streamlined solution to regain control and focus more on her creative work.

The primary goal of this project was to consolidate all of Gentle Studio’s project management tools into one interconnected Notion workspace. The system needed to centralize data, provide a clear overview of tasks and deadlines, and simplify client and project management processes. Because Angelique needed her data migrated from the previous platform she was using (Trello) we went for the 1 week intensive service — The Notion Effect.

In just one week, we achieved the following:

Data Migration: Transferred all client and project data from Trello into a centralised Notion workspace.

Client Portals: Built customized portals for each current client, including templates for future clients, making client collaboration seamless.

Task Manager: Designed a task management system to help Angelique organize daily and weekly tasks, prioritize deadlines, and track progress.

Project Management: Set up a system to visualize project timelines, track availability, and plan for future projects effectively.

Financial Planner: Created a financial tracking tool to monitor project budgets, expenses, and revenue in one place.

Meeting Calendar Integration: Synced her meeting calendar with Google Calendar via Zapier to simplify scheduling and ensure nothing falls through the cracks.

By consolidating her tools into a single Notion workspace, Angelique now has an efficient, easy-to-access system that saves her time, eliminates confusion, and allows her to focus on delivering exceptional designs. The new workflow has given her a clear overview of all ongoing projects, deadlines, and client needs, enhancing productivity and reducing stress.
