Problem:

Clínica Upgrade was manually sending appointment reminders to patients via messaging apps, which took 150 hours per month, consuming valuable staff time and resources. This inefficient process also lacked confirmation functionality, making it difficult to track patient attendance and adjust schedules accordingly.

Solution:

We developed a system using the following tools:
Make.com: Integrates data and triggers actions across different platforms.
Manychat: Sends automated WhatsApp messages to patients.
Airtable: Stores and manages appointment data.

Process:

Data Integration: Make.com connects to Clínica Upgrade's ERP API to automatically identify upcoming appointments.
Automated Messaging: make.com triggers Manychat to send personalized WhatsApp reminders to patients with confirmation buttons.
Response Processing: Patients respond with confirmation or rejection through WhatsApp buttons.
Status Update: Make.com receives the response and automatically updates the appointment status in the ERP and Airtable backup database.
Targeted Follow-up: Clínica Upgrade can now focus on contacting only patients who haven't confirmed, streamlining communication and saving time.
