The operations team at Wareclouds lacked an efficient system for lead segmentation. They manually reviewed all applicants, regardless of fit, consuming valuable time and resources. This process also lacked transparency and consistency in qualification, often leading to misdirected phone calls and missed opportunities.
Solution:
We developed a streamlined system built on the following tools:
Typeform: Captures applicant data and qualification responses.
Zapier: Integrates Typeform data with ClickUp and Slack.
ClickUp: Manages the applicant pipeline and tracks progress.
Slack: Provides real-time notifications and collaboration.
Process:
Qualified Application Form: We designed a Typeform questionnaire with specific criteria to assess applicant suitability for different roles.
Automated Segmentation: Based on responses, Zapier automatically routes leads into relevant ClickUp pipelines:
Real-time Notifications: Slack alerts the recruiting team about new qualified leads and informs applicants of their status.
Rejection Automation: Applicants deemed "Not Qualified" automatically receive a personalized rejection message, saving communication time.
