ManyChat Automation

Many businesses that offer scheduled services like classes, workshops, or courses still rely on manual processes to handle enrollment. Staff spend a large portion of their day answering the same repetitive questions: what times are available, how many spots are left, which option is right for me. This creates a bottleneck where the business is dependent on human availability to move a potential customer forward, and mistakes like overbooking or slow responses end up costing them leads.

For this project, the client offered multiple course types across different schedules and needed a way to manage incoming inquiries and bookings without adding more staff or spending hours in the inbox every day.

I designed and built a ManyChat automation that handled the full enrollment conversation from start to finish. When a potential student reaches out through WhatsaApp, the bot immediately engages them, guides them through selecting their course type, presents the available time slots, and checks real-time capacity before confirming the booking. Every step of the flow was built to feel natural and easy to follow, reducing drop-off and making sure students could complete the process without needing to wait for a human response.

The backend was connected to a capacity database that updates automatically with every new booking, so the information shown to users is always accurate and overbooking is fully prevented. The school no longer had to manually track availability across different course types and schedules.

This project is a strong example of how chatbot automation can replace an entire administrative workflow, save time, improve response speed, and create a better experience for the end user without increasing operational costs.
