Client: A growing property acquisition firm managing outreach to 800+ commercial locations across the U.S.
Problem:
The team was tracking leads in spreadsheets and had no unified view of where each property stood in the pipeline. Calls and emails were logged manually with no connection to properties or owners. This created duplicate outreach, lost momentum, and no real way to visualize team activity or lead progression.
🔧 What I Built
1. Airtable CRM Structure
Properties Table: Each row represented a unique commercial property, with fields for address, brand, rep assigned, and current lead stage.
Interactions Table: Linked to properties, used to track calls/emails. Captured date, rep, notes, outcome.
Owners Table: Mapped multi-site owners/franchisees, connected to multiple properties.
Built rollups to show last contact date, total number of touches, and auto-update lead status.
2. Visual Pipeline & Reporting
Designed a Kanban-style pipeline view using lead stages (New → Contacted → Qualified → Converted)
Built a dashboard view showing:
Number of properties per stage
Reps sorted by total interactions
Properties with no touchpoints in the last 10 days
Used Airtable’s native Interfaces for easy, filterable team dashboards
3. Google Sheets Integration
Set up a Make.com scenario to sync a team-facing Google Sheet → Airtable
Parsed new rows as Interactions, matched properties by address
Auto-linked interactions to the correct property + owner inside Airtable
System updated in real time as the team logged their activity from Sheets

Team moved from scattered spreadsheets to a live, linked CRM
Reps could see all property history at a glance
Managerial team had visibility into outreach volume, rep performance, and lead momentum
Built for scale — now tracking 1000+ properties without friction
