Automated Lead Qualification System for Real Estate

Client:
A US-based real estate lead gen firm helping investors find off-market residential properties.
Problem:
Their team was manually qualifying incoming leads by searching county records and Zillow to check property value, ownership history, and basic details. This took 5–10 minutes per lead and introduced inconsistencies across agents.
Goal:
Build an automated system to instantly enrich lead info with verified property data and push only qualified leads into their CRM for follow-up.
🚀 Solution Overview
Tech Stack:
n8n: Workflow orchestration
Estated API: Property data provider (U.S. based, API key access)
Typeform: Lead intake
Airtable: Lead and property data storage
Pipedrive: CRM
Calendly: Call booking automation
⚙️ Workflow Logic
Lead Submission: User submits address via Typeform or web form.
Webhook Trigger: n8n listens to form submissions via webhook and extracts address fields.
Estated API Call: Using the address, n8n calls the Estated API and retrieves full property data: Owner name, Assessed value, Last sale price, Square footage, lot size, Year built, property type
Filtering Logic:
In n8n, logic checks:
Property value ≥ $250K
Owner occupancy status = non-owner
Property type = Single Family
Qualified → CRM:
If qualified, the enriched lead is pushed to Pipedrive with tags and custom fields.
Meeting Scheduler:
A Calendly invite is sent automatically if the lead opted for a callback.
Data Storage:
All leads (qualified and unqualified) with full property data are logged in Airtable for reporting.
Estated API system that enriches and filters real estate leads by property value, occupancy, and type for efficient qualification.
