Switchboard Cloud approached us to create a personalised integration platform for supply chain clients still relying on outdated systems. The project’s primary goal was to simplify how these clients connect with their suppliers by unifying multiple systems into one seamless platform.

The Challenge

Switchboard Cloud’s supply chain clients struggled with integrating complex legacy systems and managing multiple platforms to connect with suppliers. They lacked a centralised solution to streamline their operations, leading to inefficiencies. The goal was to reduce the time spent on supplier connections by 40% within 6 months.

Requirement

The client required a platform that could integrate with multiple legacy systems, automating supplier connections and streamlining supply chain operations for ease of use.

User Research

We conducted:

12 in-depth interviews with supply chain clients
25 surveys from clients using various legacy systems
3 prototype testing sessions focused on system integration ease

Key findings:

Clients were frustrated with the time-consuming process of managing multiple systems
There was a high demand for a unified platform that could easily integrate with existing systems
Users needed more automation and less manual intervention in supplier communication

Is managing multiple legacy systems slowing down a supply chain operation?

Design Process

Ideation

We explored solutions to modernise legacy systems with a seamless, intuitive interface for supply chain operations.

Wireframing

Wireframes focused on a central dashboard to simplify managing supplier interactions and reduce clutter.

Prototyping

Using Figma, we built interactive prototypes showcasing automated supplier connections and real-time updates.

Iteration

Improvements included enhanced automation, clearer notifications, and simplified drag-and-drop functionality.

Solution

We implemented:
A centralised platform that integrates with clients’ legacy systems
Automated supplier connections to reduce manual tasks
Real-time updates and notifications to improve communication with suppliers
Customisable dashboards tailored to individual client needs

Results

After 6 months:
45% reduction in time spent managing supplier connections
35% increase in system efficiency reported by clients
20% improvement in user satisfaction based on post-implementation surveys

Lessons Learned

Automation is key to improving efficiency in complex supply chain systems
Integrating legacy systems requires flexibility and user-centered design
Continuous user feedback is essential to refining complex platforms
