AI-Powered Email Labeling Agent for Inbox Management
Overview
An AI-powered Gmail automation built with n8n and OpenAI that automatically classifies incoming emails and applies the correct Gmail label.
The system replaces manual inbox sorting with real-time AI classification, helping teams organize high-volume email and surface important messages faster.
Challenge
The inbox contained multiple types of business communication, including sponsorships, collaborations, business inquiries, and general messages.
Manually reviewing and labeling incoming emails took 3+ hours per day, while inconsistent sorting increased the risk of delayed or missed opportunities.
Solution
I designed an automated n8n email classification workflow that monitors Gmail in real time, analyzes each incoming message with OpenAI, and applies the appropriate Gmail label automatically.
The workflow extracts the subject, body, sender, and relevant metadata.
OpenAI analyzes the message content, intent, and sender context.
The AI assigns one of four predefined categories:
Sponsorship
Collaboration
Business Inquiry
Others
n8n routes the result through conditional branches.
The corresponding Gmail label is applied automatically.
Optional logging can store classification results for reporting and auditing.
AI Decision Logic
Each category uses a defined classification prompt so the AI follows consistent business rules.
An Others fallback category captures messages that do not match the predefined business categories, preventing unclassified emails from being left behind.
The labeling structure can also be adapted for different businesses, such as sales, support, partnerships, recruitment, billing, or operations.
