A small, nimble marketing team needed to modernize and streamline its sales pipeline. With a global audience, the agency also wanted to ensure 24/7 access to information about its services.

RESULT

The AI assistant, "Rocket," greeted website visitors with conversation starters. Visitors learned about the agency's services, what made it unique among other agencies, and even received targeted strategic advice.

Users: Members of the public, including entrepreneurs, startup CEOs, investors, inventors and other visitors of the agency's website; secondarily, internal team members

Features:

Qualify leads: A conversational approach to lead qualification ensured high-potential opportunities would be prioritized by the agency's sales team.
Share testimonials: The assistant drew on its knowledge base to provide relevant testimonials and service differentiators.
Book an appointment: Users could be invited to book directly onto a team member's calendar via an embed in the conversation.
Speak multiple languages: Users learned about the agency's services in German, Spanish, Portuguese and other languages.
Resource referrals: The assistant intelligently decided which of the agency's resources may be appropriate—books, a GPT Launch Coach, or free online tools—and provided links based each user's goals.
Draft brand-aligned responses: Agency team members quickly discovered the assistant was an excellent resource for drafting their email communications with clients and potential clients
Offer resources for out-of-scope needs: We were surprised to see some users request help with personal "marketing" like GoFundMe campaigns. The assistant responded respectfully and compassionately—a wonderful sign of its responsiveness to its original prompt, adapted to an unforeseen context. We honed in on even more specific language and added links for people to find local help via vetted sources (United Way 211 via FindHelp zip code based search).

Channels & Tools:

Website: Added to the agency's homepage.
Zapier: Workflow automation, connections with other platforms and a daily check-in to ensure the assistant is live and ready to engage with users.
Email: The assistant has been integrated into an automation that creates email drafts in response to cold inquires from leads. This is a time saver for the sales team!

Benefits:

The assistant provided instant, accurate responses to audience inquiries, reducing the need for human intervention in repetitive tasks. This saved vital time that had previously been spent on manual lead qualification. It also saved the time of people who may otherwise have spent more time learning about the agency's services, only to later learn that it would not be the right fit.
Team members confidently drew on the chatbot's guidance, knowing it was rooted in the proprietary systems, knowledge resources, and prior experience of the agency's team and leadership. The strengths of the global team shined more brightly as team members were able to translate key concepts into the language of their choice. At the same time, they could add an additional layer of proofreading in the language in which copywriting was published for a given project.
A focus on accessible explanations aided in knowledge building for users, empowering them to better understand marketing services whether or not they continued in conversation with this particular agency. Through candid, clear conversations, the assistant helped set a tone of trust and transparency and offered a polished, brand-aligned first impression to potential clients.
