🦷 AI Dental Receptionist — Designing a Smarter, Friendlier Dental SaaS Experience
Overview
In 2025, I had the opportunity to design a web-based SaaS platform for dental clinics in Canada that leverages AI to handle patient calls, bookings, and follow-ups. The product acts as an AI Receptionist, improving rebooking rates, streamlining communication, and helping mid-sized dental clinics focus on patient care rather than admin tasks.
The project was commissioned by Bryan, who had a clear vision and well-defined module breakdown. My role was to translate this vision into a scalable UI/UX design system, high-fidelity mockups, and a fully interactive prototype in Figma.

Create a modular SaaS design system to support rapid MVP development and scalability.
Deliver a clickable prototype that covers all six major modules for demo and investor pitches.
Ensure usability, accessibility, and workflow clarity for different roles — Receptionist, Dentist, and Clinic Owner.

1. AI Receptionist Call Insights
A central dashboard that transcribes, summarizes, and analyzes patient calls using AI.
Key Features: Call playback, AI summaries, sentiment detection, and suggested actions.
Design Approach: Minimal, data-first layout with conversational color accents to humanize the AI’s presence.
2. Embeddable Booking Intake (iFrame Widget)
A booking experience inspired by Calendly but tailored for dental treatments.
Key Features: Provider selection, treatment type, date/time picker, and patient info form.
Outcome: Reduced booking friction and enabled integration into clinic websites.
3. Role-Based Dashboard
Dynamic dashboards that adapt based on the user’s role.
Owner View: Revenue, top treatments, patient growth metrics.
Dentist View: Treatment schedule and active patient list.
Receptionist View: Daily calls, missed appointments, and reminders.
4. Communication Hub
Unified inbox combining SMS, calls, and patient messages.
Key Features: Reply, assign, tag, and flag directly from the thread.
Design System Elements: Consistent iconography, spacing, and quick-action badges for clarity.
5. CRM (Lead Pipeline)
Pipedrive-inspired CRM to manage leads and patient inquiries.
Views: Kanban and list mode.
Key Interactions: Drag-and-drop leads, inline editing, and color-coded status tags.
6. Schedule Management
Calendar for dentists to manage appointments, block time, and handle leave schedules.
UX Challenge: Sync with external calendars and clearly display availability overlaps.
Solution: Color-coded event states with visual sync indicators.
