Problem:

For this project the client was planning to relocate their offices and share the space with a partner company.
They required a flexible and adaptable workspace that could accommodate both collaborative and individual work styles. Specifically, they needed to ensure sufficient space for private offices for management (including a large office for the president of both companies), while also incorporating flexible work zones and a multifunctional meeting room.
However, the client lacked a clear understanding of the overall square footage required to accommodate all these requirements within a single space. They had preliminary estimates for individual spaces (e.g., a meeting room for 30 people, another for 8-10 people, 17 private offices with varying sizes) but struggled to visualize how these spaces could be effectively integrated and determine the overall space needs for the entire office.

Solutions:

1. Meeting rooms and client meetup spaces for both companies.
To address the client's need for a collaborative and client-centric workspace, I prioritized the placement of shared meeting spaces at the entrance of the office. This strategic decision aimed to create a welcoming and stimulating environment for both clients and employees while minimizing disruptions to the core workspace.
I designed a flexible reception area and incorporated a large, multifunctional meeting room with movable partitions. This innovative design allowed for adaptability, enabling the space to accommodate various meeting sizes and configurations. The large meeting room could seamlessly transition from a single, spacious gathering area for up to 30 people to two separate meeting rooms for smaller groups of 15, maximizing the efficiency of the space.
2. Services for employes
Building upon the client's initial requirements for a shared workspace, I strategically designed the office layout to prioritize efficient workflow and employee well-being. Following the dedicated client meeting and reception area, the design seamlessly integrated essential employee services, including:
Dedicated Service Zones: A central core housed essential amenities such as printing facilities, well-appointed restrooms, a secure server room, and a spacious shared kitchen and dining area. This strategic placement ensured easy access for employees from both companies while minimizing disruption to the core workspace.
Prioritizing Employee Comfort: The kitchen and dining area were designed as a communal hub, fostering interaction and collaboration between employees from both companies.
By carefully integrating these essential services within the overall office layout, I aimed to create a functional and comfortable environment that supported the needs of both employees and clients.
3. Open space work stations.
To address the client's desire for a flexible and collaborative workspace, I designed the core office area with a focus on open plan principles. A central distribution spine, defined by low-height organizational elements, visually separated the workspaces for each company while maintaining a sense of openness.
On one side, I created a dynamic workspace for one of the companies, featuring a cluster of large, shared tables. These tables were strategically interspersed with mobile panels and organizational units, providing a balance between individual focus and collaborative interaction.
For the larger company, I mirrored this approach, incorporating similar elements with the addition of strategically placed seating areas. These intimate seating zones, strategically positioned within the open plan, not only provided a visual break within the workspace but also encouraged informal interactions and impromptu meetings among employees.
Considering the client's desire for both individual focus and collaborative interaction, I designed a flexible and adaptable workspace that fostered a dynamic and engaging work environment.
4. Private offices
To accommodate the client's requirement for private offices, I incorporated a series of enclosed spaces within the overall layout. These private offices were designed to be both functional and visually appealing.
Privacy and Collaboration: Some offices featured a small, enclosed niche within the larger space, providing employees with a quiet and private area for focused work or confidential calls.
Visual Connectivity: The offices were equipped with glass doors, ensuring visual transparency and maintaining a sense of openness and connection within the overall workspace.
Collaboration Spaces: Recognizing the importance of both individual focus and team collaboration, I incorporated small, open meeting areas within the private office zones, allowing for informal discussions and impromptu team meetings.
By carefully considering the client's specific needs and preferences, I was able to create a workspace that effectively balanced the need for privacy and individual focus with opportunities for collaboration and interaction.

Communicating the Design: Visual Presentation and Client Deliverables

To effectively communicate my design vision to the client, I presented the proposed office layout using a combination of 3D diagrams and detailed floor plans. These visual aids provided a clear and comprehensive understanding of the spatial organization, including:
3D Visualization: 3D renderings offered a preview of the proposed office space, allowing the client to experience the atmosphere and visualize the flow of the workspace.
Color-Coded Zoning: The floor plans utilized a color-coded system to clearly distinguish between different functional areas, such as private offices, meeting rooms, collaborative work zones, and service areas.
Dimensional Accuracy: The plans included approximate measurements for each space, providing the client with a realistic understanding of the required square footage and enabling them to begin their search for suitable office locations.
This comprehensive visual presentation provided the client with a clear and concise understanding of the proposed design, enabling them to confidently proceed with their office relocation plans.
