Overview

A peer-to-peer marketplace and social platform that encourages architects to trade building assets as NFT's is in need of a hiring workflow for the first few hires of their start-up.

1. Identifying the need for hiring

In order for Drawing Board to hit its desired impact and income while meeting its clients' demands, it must add new people to help with the workload. To hire the best candidate for the role, vital questions must first be answered by the top management/hiring manager to identify the ideal person suited for the position.
A Hiring Questionnaire is provided to answer the following:
Why should we add a new hire? For what position?
What company goal is aligned to the new hire's roles and responsibilities?
When do you need the new hire to be deployed? What is the timeline?
How will the new hire go about the hiring process? How about the internal processes involved?
What are the technical skills and tools that he must be proficient with?
What is the career growth plan for this role? How will this role be evaluated?

2. Creating the job description

To attract the best candidate, a brief yet detailed job description is needed. The job description is a company's chance to make a great first impression on the applicant.

3. Creating the interview questions

The interview questions are created to test culture fit and technical know-how.
Sample questions for the position of Client Success Specialist:
How would you handle an ideal client? How about a problematic client?
How will you manage your time as a Client Success Specialist?
What's the toughest situation you've been in with a problematic client? How did you manage the situation?

4. Creating the application form with a tracking system

The primary tool used for this project is called ClickUp. All forms are created through the web app and are then automatically tagged based on the applicants' responses. Automation is initiated, as soon as they hit submit. A confirmation letter for the receipt of their application is sent and tasks are broken down for the hiring manager/associate to see and do.

Below, you can see that applicants are categorized based on what stage they are in the hiring process. Together with this streamlined process, clean dashboard, and automated email sequences, the hiring and tracking process is seamless both for Drawing Board and the applicants.

5. Designing the Hiring Workflow

Two workflows are created for this project. The first one is a comprehensive workflow that includes all the steps, starting from identifying the need up to the confirmation of acceptance/rejection by the applicant. The second workflow is a simplified flowchart of the hiring process, displayed below.

6. Creating the Standard Operating Procedure for the Hiring process

Guided by the comprehensive hiring workflow, a Standard Operating Procedure is created.
