A business needed their AI receptionist to do more than just answer calls. They wanted intelligent routing: the system should understand what the caller needs, remember past interactions, and transfer to a human only when the AI genuinely can't help.
What I Built
An enhanced AI receptionist with smart call routing, built on Vapi, OpenAI, and n8n.
Key features:
Intent detection that understands what the caller actually needs within the first few seconds
Smart routing rules that send callers to the right team (sales, support, billing, etc.)
Context memory so repeat callers don't have to re-explain their situation
Natural conversation flow that feels like talking to a real person
Human handoff with full context: when the AI transfers a call, the human agent sees the entire conversation summary
The Tech Stack
Vapi for voice processing and call handling
OpenAI for language understanding and dynamic responses
n8n for building the routing logic and connecting to business systems
The Result
The receptionist now handles the majority of inbound calls without human intervention. When it does transfer, the human agent already knows the full story. Less hold time, fewer dropped calls, and a better experience for everyone involved.
