Bestmates Travel is a travel experience company that works primarily with queer travelers. Their business is growing fast, and they needed a simple solution to better onboard and manage inbound leads. This work achieves that by automatically storing their contact information in their CRM system built in Notion, update the newsletter subscriber list, and encourages them to continue with the intake process.

Workflow automation, Notion database setup, Tally form integration

The workflow begins when a user submits their email address using the newsletter sign-up form on the Bestmates website. This sign-up then sends an email to the Bestmates inbox.

ChatGPT 4o-mini is then used parse out the email address when the sign-up email is sent the Bestmates Gmail inbox. This step may seem overkill, but it was a workaround to a weird quirk in the current Webflow integration in Relay.app.

The parsed information is then added to a specific Notion database and to their MailChimp subscriber list.

A text-based email is automatically sent via Gmail to confirm with the user that their email address has been added to the list. Gmail was used intentionally to create a more personal feeling to the message. Users are encourage to continue with the intake processing by completed the linked Tally form, which then triggers a new workflow.
