Kajabi Community and Affiliate Programme Setup for Leap into HR Consulting®

Project overview

Leap into HR Consulting® had three online programmes hosted inside Kajabi, but the member experience was split across multiple platforms. Programme communication was happening inside Facebook groups, while live meetups were being managed through Zoom. This meant the team had to manage different systems, and the person who owned the Zoom account often needed to log in and start meetings even when they did not need to attend.
The client wanted to bring everything into one place using Kajabi Communities, but they were not fully aware of what the platform could do or how best to structure it.
I supported them with the strategy, setup, branding, team training, customer migration and a follow-up affiliate programme build.

The challenge

The existing setup had become difficult to manage as the programmes grew.
The main challenges were:
Separate Facebook groups for different programme levels Live calls managed through Zoom outside Kajabi Too much manual admin for the team No central community area inside Kajabi Unclear structure for different programme levels A need for branded programme spaces and support resources A team that needed training on how to manage the new system A later requirement to launch an affiliate programme for members
The client knew Kajabi Communities could help, but needed guidance on how to turn it into a clear, branded and manageable member experience.

The solution

The project started with a strategy call with Sarah, the founder, where I walked through what Kajabi Communities could do and helped brainstorm how it could work for their programmes.
We decided to create three separate access groups, one for each programme level. This allowed members to only see the areas relevant to their programme, while keeping everything managed inside one Kajabi Community.
I then created different channels for each access group, including meetup spaces, an Ask an Expert channel, and channels linking through to new FAQ pages. These FAQ pages were created for each programme level so members had easy access to important information without relying on Facebook posts or manual team replies.
A key part of the project was making the Community feel aligned with the Leap into HR Consulting® brand. I worked with their design team to create branded assets in Canva, advised on image sizes and layout requirements, and helped shape the visual structure of each programme area so the platform felt polished and professional.
Once the structure and branding were in place, I set up the original live calls inside the Community and then trained the team on how to manage the platform day to day. This included managing notifications, setting up live calls, handling recordings and understanding how members would move through the Community.
The final stage was migrating existing customers into the correct access groups, checking their access, and helping resolve any issues during the transition.

Affiliate programme setup

The next phase of the project focused on launching an affiliate programme.
Leap into HR Consulting® wanted to reward members for recommending the platform, so I consulted on the best affiliate structure, including what level of reward to offer and how the programme should be positioned.
I then set up the affiliate payment links, advised on the automated email content, helped shape the member dashboard experience, and guided the team on which links and assets to use.
To support the launch, I also built a new affiliate signup page based on a design the team supplied. This was created using custom code and AI-supported development to closely match the original design, while making sure the page worked effectively inside Kajabi and encouraged members to join the programme.

The result

Leap into HR Consulting® moved from a fragmented setup across Facebook groups and Zoom into a more centralised Kajabi Community experience.
The new structure made it easier for members to access programme-specific content, join live sessions, ask questions, find FAQs and engage with the team in one branded space.
The team also gained the confidence to manage the Community themselves, including live calls, notifications and recordings.
The follow-up affiliate programme gave the business a clear way to reward members for referrals, with the supporting links, emails, dashboard structure and signup page in place to help promote the programme professionally.
