Overview A self-initiated Notion system demo for perfume retail. It was not commissioned by a shop. All product, customer, order, payment and date records shown are fictional sample data.
Workflow goal Keep catalog and stock details connected to manually recorded customer orders, payment state and the next follow-up, so the operator can see what needs attention without searching across disconnected notes.
System structure Catalog Desk organizes products by fragrance, house, family, size, price and stock. Customer Desk keeps contact and follow-up details. Order Board records order reference, customer, stage, payment state, amount and date. Follow-Up Queue presents due tasks such as confirmation, delivery checks, collection and restock.
Typical order flow
Check the product and available stock, then confirm the size and price.
Log the inquiry or order from WhatsApp in Notion and connect it to the customer and product.
Update the order and payment stage as work progresses.
Set the next follow-up date and review it in the queue.
Design decisions Products, customers and orders are separate records connected through the workspace. Table, card and calendar views support browsing, order review and daily follow-up. WhatsApp is represented as a manually recorded channel: this demo does not import chats, send reminders or sync with WhatsApp. It shows a repeatable template workflow and does not claim client outcomes.
Custom setup For a workflow adapted to your own products and order stages, see the Custom Notion Workflow Setup.
