DaVita’s People Analytics had a problem - its members continually felt like they did not have the bandwidth to complete new work. No one, including leadership, was certain if this was just a byproduct of the company’s culture or if the team was truly overcapacity. I was brought in to get to the bottom of this...
I began with creating a data intake for and working with each member of the team to estimate their weekly & monthly responsibilities. This would allow me to chart estimated effort by week and find trends, if any existed.
Paired with data from ad hoc requests, I was able to predict future under/over capacity weeks by teammate. My methodology was validated with historic data and interview to ensure predictions were as close to reality as possible.
Results:
Yes, there were in fact times where teammates were over capacity. However...there were also times were some were under capacity.
I developed a cross-training and knowledge share plan and worked with leadership to stagger regular reporting. This allowed the team to shift/cover each other in high workload times and distribute work more evenly.
Paired with workflow management initiatives I led, team efficiency boosted 10%.
