Co-Space: A Mobile Application that aims to incorporate Artificial Intelligence to provide users with a custom work-life balance schedule, for those who work from home

Note: Not all components of the project are stated here due to privacy concerns.



Issue

Individuals who work from home, who struggle with finding a work life balance

Purpose

The purpose of Co-Space is to create custom made work from home routine(s) for individuals who work from home. As these individuals are working away from the typical office space, this can hinder their productivity. As a result, Co-Space helps individuals struggling with burnout and productivity and by guiding them back into a routine that works for them.

Business Objectives

To develop a mobile application that helps people working remotely easily incorporate their work with a healthy routine, creating a positive balance between the two by helping them achieve their every day goals both at work and at home.

Benefits Statement

  • Increased productivity - This mobile application will track personal and professional day goals and time spent on it  and the mobile application will configure this  information by user prioritization, so that more important tasks are completed on time.
  • Efficient time management - Through this mobile application the user can check how their time is being utilized day to day and can set a timer to reduce time wasted on unproductive activities.
  • Cost savings - By promoting work from home, while enhancing productivity in comparison  by doing the job in person people will be able to save money on commuting and organizations will save money on office set up.
  • Boosting morale - When a person is able to achieve their personal goals at the end of the day and measure their success in solid data and numbers, it gives them motivation and boosts their morale.
  • High data security - Client’s data will be highly secured and constant monitoring and measures will be in place so as no breach occurs.

To develop a mobile application that helps individuals who work from home create a work life balance and to help increase their productivity.

  • Changes in rules/dependencies in 3rd party application publishing
  • Created mobile application design is not scalable to the application itself
  • Mobile application is rejected by platforms - Such as the Google Play store or App Store
  • Bugs and crashes found in the application
  • Users do not find that the core function is effective
  • Competitor release an app with the same idea faster
  • Bad feedback of the product (mobile application)

Risk Mitigation Strategies

Technical Difficulties

When building a software application there can be various technical risks and challenges involved such as device compatibility issues, network bandwidth problems, integration with different operating systems etc.to mitigate theses technical risks following strategies will be implemented:

  • Rigorous testing of the app on range of different devices and operating systems to check compatibility
  • Implement adaptive layouts and be flexible in approach.
  • Conduct beta testing with diverse user groups for feedback and evaluation

Project delays

  • Create a realistic project schedule.
  • Identify critical paths
  • Regularly monitor progress
  • Address bottlenecks promptly
  • Allocate resources appropriately

Budget constraints

  • Develop a detailed budget plan,
  • Track expenses regularly
  •  Conduct cost analysis, prioritize requirements based on available budget, identify potential cost-saving measures, and have contingency plans in case of budget over runs.

Scope Creep

Manage scope creep by clearly defining project scope, set up Change Control Processes, closely monitoring requirements, maintaining regular communication with stakeholders to manage expectations, and prioritizing and documenting changes effectively.

Data Security Breach

Mitigate the risk of data security breaches by implementing strict security measures, conducting regular security audits, encrypting sensitive data, following secure coding practices, use strong password, educating and training the development team on data security protocols, and having a response plan in place such as a kill switch.



Change Requests

A change request that was submitted in result of a 15% reduction in the Project budget.
