Challenge

Ravenna builds an AI-native internal service management platform that helps teams automate workflows and handle support requests natively within Slack. As the platform scaled, operational gaps emerged across multiple departments. Their Retool support dashboard lacked visual consistency, suffered from query performance issues, and used raw JSON views that slowed down engineering investigations. There was no direct linkage between support tickets and Langfuse traces, making debugging slow and manual. Internally, staff had to coordinate and update Slack statuses manually during Out-of-Office (OOO) events. Finally, the go-to-market (GTM) team was running outbound efforts manually across disconnected tools, including Clay, Twain AI, and HubSpot, creating a personalization bottleneck.

Goal

To optimize Ravenna’s internal workflows, observability infrastructure, and outbound operations. The objective was to improve Retool dashboard usability and performance, build a direct path from support tickets to Langfuse traces, automate team status updates in Slack via shared calendar events, and deploy an automated, personalized outbound GTM pipeline.

Our Contribution

Toolshed addressed Ravenna's needs across four operational workstreams:
Retool Dashboard Optimization: Audited the existing Retool setup to resolve performance issues and UI inconsistencies. Revamped unpolished views using structured list components, implemented cross-page deep-linking, standardized copy-to-clipboard features, and corrected broken navigation to improve team debugging speeds.
Langfuse Observability Integration: Engineered a direct linkage between user records and Langfuse. Support engineers can now jump from a specific ticket directly to its associated Langfuse traces, using filters for time ranges, environments, and projects.
Out-of-Office Slack Automation: Developed a centralized Google Apps Script monitoring the team's shared Google Calendar. Utilizing one-time OAuth authorizations, the script maps Google Calendar identities to Slack profiles, detecting OOO keywords and updating Slack statuses in real time for the duration of each event.
GTM Pipeline Automation: Configured Clay as the orchestration hub to unify their sales outreach tools. Clay filters new leads, triggers Twain AI to generate personalized messaging, writes the compiled content back to HubSpot, and automatically enrolls prospects into active marketing sequences on a monthly run.

Overview of Project Success

By centralizing data connections, streamlining internal dashboards, and automating manual processes, Toolshed reduced operational overhead across Ravenna’s engineering, support, and sales teams. The optimized Retool dashboard and direct Langfuse trace linking shortened investigation and debugging times for customer issues. Internal coordination was simplified by transitioning OOO scheduling to an automated system. With the automated outbound pipeline running monthly in HubSpot, the platform now serves as the operational backbone supporting Ravenna's day-to-day internal processes and go-to-market scaling.
